Access Areas module

Description

The Access Areas module is specifically designed to grant/restrict access of crew members to various onboard areas. 

The main purpose of the module is to ensure the security of each access to the area.



Functionality

This section will teach you how to grant/restrict crew members' access to various onboard areas.

To get started, click the Access Areas button on the Modules ribbon. The Access Areas module becomes active and you can start managing it from the Service Desk ribbon tab.

On opening the module, a crew list becomes available to you. You can view the lists of onboard crew members, on-signers, or a combined list of onboard crew members and on-signers by clicking the corresponding tab: Onboard, On-signers, Both.

Now, you can set the access areas permissions for a crew member directly in the displayed list. Simply, select a crew member to be affected and double-click the selected records. This makes the Access Area Details dialog appear:

Within the dialog, proceed as described below:

  1. Select/clear the checkbox which corresponds to the access area you want to grant/restrict.

  2. Click OK to save the changes.



To clear all the access areas, click Reset Access.

To forbid access to all the onboard areas, select the Is Blocked checkbox.





Housekeeping

When first launched, the module requires a one-time setup. This section provides step-by-step instructions on how to get everything set up.



Define Areas

To define the areas for which you want to provide secure access, follow the steps below:

  1. Switch to the Setup ribbon tab and click the General Codes button.

  2. On the Structure pane, click the Vessel code category to expand it and select Access Areas.

  3. Click the New button in the Actions group of the Manage ribbon tab. The General Code Editor (Access Areas) dialog appears:

  4. Enter a Code (mandatory field), a unique alphanumeric APM code.

  5. In the Text field, indicate the area name and its alternative name, if needed, in the Alternative field.

  6. In the Sort field, define the order number of a record (where 0 means the first record in the list).

  7. In the Is Passive field, specify whether the code is to be active or passive. Passive codes appear as disabled.

  8. Click OK to proceed.



As a result, a new access area code is added to the list of codes:



Set Access Area For Vessel

You can set permission areas for a vessel. This approach assumes you set permission areas and then inherit them to crew members belonging to the vessel. To do this, follow the steps below:

  1. Switch to the Setup ribbon tab and click the Organization structure button.

  2. In the Organization tree-view structure, double-click the vessel for which you want to set access areas.

  3. Select Properties > Technical on the left-hand pane and switch to the Access Areas tab in the working area:

  4. Click the Add Access Area button at the bottom of the page. Clicking the button enables the fields to be filled out:

    • Code is a unique alpha-numeric APM code.

    • Name is an area name.  For more information on how to set up areas, see Define Areas.

  5. Click Apply to save the records.





Set Access Area For Department

You can set access areas for a department. This approach assumes you set access areas and then inherit them to crew members belonging to the department. To do this, follow the steps below:

  1. Switch to the Setup ribbon tab and click the Organization structure button.

  2. In the Organization tree-view structure, double-click the department for which you want to set access areas. Within the appeared dialog, switch to the Access Areas tab:


  3. Click the Add Access Area button at the bottom of the page. Clicking the button enables the fields to be filled out:

    • Code is a unique alpha-numeric APM code.

    • Name is an area name.  For more information on how to set up areas, see Define Areas.

  4. Click Apply to save the records.





Set Access Area For Position

You can set access areas for a position or grant access permissions inherited from the vessel and/or department. Assume that the inherited permissions are preset by default.

To do this, navigate to the Setup ribbon tab > Organization structureIn the tree-view structure, double-click the position of the crew member whom you want to grant access permissions:

Within the displayed dialog, switch to the Access Areas tab:

In the dialog, the following options are pre-selected:

  • Inherit access from vessel grants permissions to all the access areas defined for a vessel. For more information, see Set Access Area for Vessel.

  • Inherit access from department grants permissions to all the access areas defined for a department. For more information, see Set Access Area for Department.

You can clear the option to remove the inherited permissions for a position.



In addition, you can assign access areas to crew members. To do this, on the Access Areas tab, proceed as described below:

  1. Click the Add Access Area button at the bottom of the dialog. Clicking the command enables the fields to be filled out:

    • Code is a unique alpha-numeric APM code.

    • Name is an area name. For more information on how to set up areas, see Define Areas.

  2. On completing, click Apply to save the records.



As a result, the applied changes are displayed in the crew list:

To remove access areas:

  1. Select the previously added permission area and click the Remove Access button at the bottom of the dialog.

  2. Click Apply to save the changes.
