Sick Registration Wizard


This article describes how to use the Sick Registration Wizard to replace planned onboard, leave, and vacation (if set up with leave type) activities automatically. 


Description

Under Tools, there is a Sick Registration Wizard that can replace any planned onboard, leave, or vacation (if set up with leave type) activities within the pre-defined days interval. The tool can replace only Sea-service and Leave type activities with Sick periods.

Get Started

To access the wizard, navigate to the Tools ribbon tab > Wizards > Sick Registration Wizard:

Register Sick Period

To register a sick period, follow the steps below:

  1. On the wizard home page, select Register new Sick period:

Click Next to proceed

  1. In the Sick Period Registration Dates dialog, specify the date range for which the sick leave to be registered:

    Click Next to proceed.

As a result, the system replaces the planned activity to sick activities:


Extend Existing Sick Period

To extend the exisitng sick period, follow the steps below:

  1. Navigate to Tools > Wizards > Sick Registrations Wizard. When the wizard dialog appears, select the Extend existing Sick period option:

  2. Select the new date when a person is back to work. Once done, click Next.

Before extending a sick period, make sure a crew member has a sick activity defined in Sick Wizard setup.

 

Extend Existing Sick Period Starting in Past

You can extend a sick period starting before today’s date and containing historical sick activities within the existing sick period.

For this, select a sick period starting in the past and having historical sick activities:

Make sure the following conditions are met:

  • The Start date of Sick activity value matches with the start date of the first sick activity of a crew member.

  • Crew member’s sick activity code corresponds to the sick code (defined in Sick Wizard Setup) for the first period to be replaced.

The system considers the historical sick activity as initial and continue with extend processing for current/planned:

When first launched, the wizard requires a one-time setup. This section provides step-by-step instructions on how to get everything configured.

Define Sick Activities Codes

To define the sick activities which Sea-service and Leave type-relevant activities will be replaced with, follow the steps below:

  1. Switch to the Setup ribbon tab and click the General Codes button.

  2. On the Structure pane, click the Activities code category to expand it and select Activity Codes.

  3. Click the New button in the Actions group of the Manage ribbon tab. The General Code Editor (Activity Codes) dialog appears:

  4. Enter a Code (mandatory field), a unique alphanumeric APM code.

  5. In the Text field, enter the sick activity name and its alternative name, if needed, in the Alternative field.

  6. In the Sort field, define the order number of a record (where 0 means the first record in the list).

  7. In the Is Passive field, specify whether the code is to be active or passive. Passive codes appear as disabled.

  8. On the Options tab, select the activity type by selecting the Sick checkbox.

  9. Click OK to proceed.

 

As a result, new activity codes are added to the list of codes:

 

Define Sick Registration Intervals

All sick registrations must be limited to a specific number of days. To define the duration of sick registrations, proceed with the steps below:

  1. Run Sick Registartion Wizard. For more information on how to access it, refer to Get Started.

  2. On the Home page, click the Setup button. This opens the Sick Registration Intervals Setup dialog:

  3. Click Add Record button at the bottom of the dialog. Clicking the button enables the fields to be filled out:

    • From Day is a day number staring the count of days for a specific sick registration interval.

    • To Day is a day number ending the count of days for a specific sick registration interval.

    • Activity is an activity code which is to be replaced with a sick registration. The field value is fetched based on the activity name slected in the Text field.

    • Text is a name of the activity code to be replaced.

    • Sick is an activity code of the of the sick registration pre-defined in Define Sick Activities Codes. The field value is fetched based on the activity name slected in the Text field.

    • Text is a sick activity name which is to replace the leave or sea-service activity type.

  4. Click OK to save the records.

 

Person on leave

Only applicable for customers that don’t start the employer period during a persons Leave.

If a person is on his Leave, then the start date should not be before his first planned Onboard activity. Even if this example person got sick on the 28th of January, the Start date of Sick activity should not be before 5th of February, as this is his next planned onboard activity.
