Registering Visitors/Passengers onboard


This article explains how to register Visitors/Passengers onboard, who are not considered as part of the regular crew.


Introduction

For some companies in the maritime industry, it is important to register persons onboard as Visitors/Passengers and have them appear on the Onboard lists, but not as part of the actual crew.

This article describes a step-by-step guide on how to achieve this within the Personnel Manager application.

Setup and Configuration

Step 1

A separate Rank should be created and marked as Supernumerary.
It is important for companies that differ the crew, temporary staff & passengers on board a vessel.

The option affects the display of data in the Role column under the Crew ChangeOn/Off-signing tabs.

The “Role” field displays the corresponding status of crew member's rank:

  • If the code is set with the option Supernumerary or Staff, then the same will be displayed in the Role column.

  • If neither Supernumerary nor Staff are selected – the rank will be considered as a Crew.

Step 2

In the Activity, you may as well turn on the following options, if you want the activity to Start or End a person's employment.



New Employment/Can End Employment - enables check-boxes Start/End Employment in Activities >Activity Details > Payroll tab:
When you turn ON one of the options, this activity Start/End date will be used as the Employment Start/End date of the respective employee.

Step 3

We also recommend creating a separate organization unit to link up the visitors to where Payroll is not enabled. Besides, this will make it easy to locate the visitors for deletion purposes (ref. GDPR), and the visitors will not show up as active employees on regular companies.

Step 4

The users who will be registering the Visitors must have access to the Adonis Control Centre to Create New Person Record, and to link the person up to the separate Organization unit. 

Registering a Supernumerary

Step 1

When creating the visitor it must be linked up to the new company.

Step 2

In Personal Details | Employment the new person must be linked to the Rank created as Supernumerary.

Step 3

The user must register the person with the new Supernumerary onboard activity, and link this activity to the correct vessel. 

Note:

If Crew Change module is in use, the person will be part of the Sign On/Offs as a normal crew. The default onboard activity will be assigned, but this can be changed by the user. 

  • If people are assigned not via the Activities datagroup, but via the Crew Change you need to add them both to Sign On and Sign Off tabs for the appropriate dates.

  • If added only for Sign On person's activity doesn't get and an estimated end date!

Step 4

When printing an IMO Crew List report the person will appear similar as per the below

Note:

The user can register any other needed data like passport information as long as the correct access in Adonis Control Center is set.
