APP Onboard Drills and Scenarios Module


This article explains everything you need to know about the Onboard Drills and Scenarios Module.


Introduction

The module is intended for planning onboard drills. Drills are activities usually conducted to train crew as well as to evaluate the response of the crew to a particular event.

Functionality

The section will teach you how to operate the module.

To get started, first, access the module. For this, click the Onboard Drills And Scenarios tile on the main page of the Adonis Crew Portal:

On clicking, you find yourself on the Onboard Drills and Scenarios page:

On the page, all the module tools are available:

  • Setup. Click the tile to create drills and scenarios as well as assign crew members to drills. For more information, see Housekeeping.

  • Scheduling. Click the tile to schedule scenarios as well as assign crew members to them. For more information, see Schedule Scenarios.

  • Executing. As a coordinator, click the tile to confirm the executed drills and leave your comments on the possible improvements that may be planned for future drills. For more information, see Execute Drills.

  • Audit. Click the tile to view the history of completed scenarios containing both completed and outdated drills. For more information, see Check Audit.

Schedule Scenarios

After setting up the drills, you can schedule them.

Scheduling drills is primarily intended for safety officers or, otherwise, for a captain.

To access the functionality, click the Scheduling tile on the Onboard Drills and Scenarios page:

Once clicked, you are redirected to the Scheduling page:

On the left-hand side of the scheduling grid, you can find a list of predefined scenario templates fetched from the Setup (see Set Up Scenarios) as well as private scenarios customized based on your needs (see Create Private Scenarios).

Confirmed time slots are marked in blue, whereas unconfirmed - in yellow.

 

To schedule a scenario, use one of the following ways:

  • Drag and drop a predefined scenario template to a certain day of the week in the Calendar

  • Click the CREATE NEW button at the top of the left-hand side pane

Once done, the following dialog appears on the screen:

Review the data provided in the dialog and perform the following:

  1. Verify the start and end days in the corresponding Start Date and End Date fields. To edit the fields, click the down arrow and specify the scenario date and time of the scenario in the calendar view. Besides, when specifying the scenario duration, the following options become available:

    • Whole day. Select the option to set the whole day event

    • Repeat. Select the option if you want to set a recurring event. This opens the Repeat dialog:

       

      When you create a recurring event, you can choose between the Daily, Weekdays, Weekly, Monthly and Yearly options. You can customize these options further:

      • Daily can be set to every day, every other day, every 3 days, etc.

      • Weekly can be set to every week, every 2 weeks, every 3 weeks, etc., and to selected days in the week.

      • Monthly can be set to every 2 months, every 3 months, etc., and set to a particular day: 10th day of the month or 2nd Monday of the month.

      • Yearly can be set to every year, every 2 years, every 3 years, etc., and to a particular day, like the Monthly option.

  2. In the Scenario drop-down menu, select the scenario to be used.

  3. In the Coordinator field (mandatory), set the coordinator of the drill by selecting the position and the crew member in charge.

  4. In the Aim/Objectives field, define the goal that is to be achieved.

  5. In the Description field, provide a short explanation of the scenario.

  6. In the Summary field, you will see the comment written by the scenario coordinator once the scenario is confirmed.

  7. Set up the drill(s) assigned to the scenario. To do this, in the Drills section, click the View button that corresponds the assigned drill. Once clicked, the dialog appears:


    Within the dialog, review the provided data and perform as described below:

    • In the Coordinator field, select the crew member's position as well as a crew member responsible for conducting the drill.

    • In the Deck field, select the deck affected by the drill.

    • In the Location field, enter the location where the drill will be held.

    • In the Description field, provide a short explanation of the drill.

    • In the Equipment field, enter a set of devices that may be required to conduct the drill.

    • In the Summary field, you will see the comment written by the scenario coordinator once the scenario is confirmed.

    • In the Participants section, you can optionally add participants by clicking the ADDITIONAL button. This opens the Participants dialog where you can add crew members:


      Click APPLY to save the changes. As a result new participants appear in the Participants section.

  8. When completed, click the SAVE DRILL and SAVE SCENARIO buttons on the Schedule Scenario dialogs. 

As a result, a new timeslot appears in the Calendar:

 


Create Private Scenarios

In the Scheduling section, you have the possibility to create a private scenario template. To do this, first, locate Private Scenarios on the left-hand side of the Scheduling page and click the  button. On clicking, the Private Scenario Template dialog appears:

Within the dialog, fill in the fields:

  • Code is an alpha-numeric code of the private scenario. 

  • Name is a scenario name.

  • Duration stands for the amount of hours the scenario must last. 

  • Aim/Objectives mean the goal that is to be accomplished.

  • Description is a short explanation of the scenario being created.

  • Drills contain a list of all the created drills. Select the drill you want to be included to the current private scenario.

When selecting the drill(s) you want to include to the private scenario, you can see the View button(s) becomes active next to the drill(s). Click the View button to see the details of the drill:

Within the dialog, you can assign crew members to the drill. For this, simply select the teams and click the BACK button. 
On completing, click SAVE.

As a result, a new private scenario appears on the left-hand side pane of the Scheduling page:

Now, you can schedule it by following the guidelines in Schedule Scenarios.

Execute Drills

The Executing tile is primarily intended for coordinators who are in charge of drills. The functionality enables to:

  • add drill participants

  • confirm a drill

  • write a summary on the conducted drill

To access the functionality, click the Executing tile on the Onboard Drills and Scenarios page:

When done, the Executing/ Drills dialog appears:

On the left-hand side pane, there are two lists of drills:

  • Ongoing Drills contain the list of drills being conducted based on the calendar in the Scheduling tile.

  • Upcoming Drills contain the list of drills planned to be conducted based on the calendar in the Scheduling tile.

Only ongoing drills are subject to confirmation.

To manage a drill, first, select it and view the details:

Before confirming the drill, you have the possibility to do the following:

  1. Add participants to the drill. For this, in the Participants section of the drill form, click Add. The Crew Members Onboard dialog then appears on the screen:


    Select the crew members you want to add and click ADD TO DRILL.

  2. Write a summary of the conducted drill. In the Summary field of the drill form, enter a brief statement of the main points: how the drill has been conducted and what should be trained more.

  3. Create a timecard registration for the selected participants by selecting the Create Timecard Reistration for participants checkbox.

When done, click CONFIRM DRILL. Clicking the command opens the Confirm Drill Execution dialog:

On the dialog, click CONFIRM to proceed.

You are then notified that the drill has been successfully executed:

The drill status changes to Completed:

Execute Scenarios

In addition to drills, a coordinator is also responsible for confirming scenarios.

To access the functionality, navigate to Executing / Scenarios by clicking Scenarios on the toolbar of the Executing / Drills page. The following page appears:

On the left-hand side pane, there are two lists of scenarios:

  • Ongoing Scenarios contain the list of scenarios being conducted based on the calendar in the Scheduling tile.

  • Upcoming Scenarios contain the list of scenarios planned to be conducted based on the calendar in the Scheduling tile.


To manage a scenario, first, select it and view the details:

Before confirming the scenario, you have the possibility to leave comments in the Summary field.

Once completed, click the CONFIRM SCENARIO button. Clicking the command opens the Confirm Drill Execution dialog:

On the dialog, click CONFIRM to proceed.

You are then notified that the scenario has been successfully executed. The scenario status changes to Completed:

 

Reject Scenarios

As a coordinator, you can cancel the confirmed scenarios, i.e. revert their status to pending for execution.

To do this, navigate to the Scheduling tile on the Onboard Drills and Scenarios page:


Now, proceed as described below:

  1. In the Calendar, double click the confirmed scenario that you want to cancel.

     

  2. Click REJECT SCENARIO.

As a result, the affected scenario appears as unconfirmed (the time slot is marked in yellow) in the Calendar:

 

Check Audit

The Audit tile is designed for ship authorities and crew to check through all the completed, historical drills and scenarios as well as drill participants.

To access the functionality, click the Audit tile on the Onboard Drills and Scenarios page:

Check Drills Audit

On accessing the Audit functionality, you find yourself on the Audit / Drills page. The page shows the data on the completed and historical drills:

To view the details of a drill, click a small triangle that corresponds to the affected drill:

Check Scenarios Audit

You can view the historical records of completed and uncompleted scenarios. For this, navigate to the Audit: Scenarios page by clicking Scenarios at the top right-hand corner of the Audit / Scenarios page:

Check Participants Audit

You can check the participants involved into drills. For this, click Participants at the top right-hand of the Audit: Drills/Scenarios page. Once clicked, the Audit / Participants page appears:

 

Housekeeping

This section enables you to perform a one-time setup of the module.

To get started, use one of the tips below:

  • Log into APP Administrator Portal. On the Home page, click the Onboard Drills tile.

  • Log into APP Crew Portal and navigate to Onboard Drills > Settings.

You are then redirected to the page where you can start configuring it:

 

Set Up Drills

To set up a drill, first, make sure you are in the Setup section of the module. To do this, use one of the following tips:

  • Log in to APP Administrator Portal. On the Home page, click the Onboard Drills tile > Drills

  • Log in to APP Crew Portal and navigate to Onboard Drills > Setup

To add a drill, click NEW DRILL at the top of the grid. This opens the Create new Drill dialog:

In the dialog, fill in the fields:

  • Code is a unique alpha-numeric code of the drill

  • Name is a drill name

  • Description is a short explanation of the drill being created

  • Equipment is a set of devices that may be required to conduct the drill

  • Passive, if selected, makes the record unavailable in the list of drills

On completing, click SUBMIT to save the records.

As a result, a new record appears in the grid:

 

Set Up Scenarios

On defining a drill, you can now create scenarios that are specific for each vessel in the organization. To do this, use one of the tips below:

  • Log in to APP Administrator Portal. On the Home page, click Onboard Drills > Scenarios

  • Log in to APP Crew Portal and navigate to Onboard Drills > Setup > Scenarios

To set a scenario, click the NEW SCENARIO button at the top of the grid. This opens the Create new Scenario dialog:


Within the dialog, fill in the following fields:

  • Code (mandatory) is an alpha-numeric code of a new scenario

  • Name (mandatory) is a scenario name

  • Duration (mandatory) stands for the amount of hours the scenario must last

  • Aim/Objectives mean the goal to be accomplished

  • Description is a short explanation of the scenario being created

  • Drills contain a list of all the created drills. Select the drill(s) you want to be included to the current scenario

  • Passive, if selected, makes the record unavailable in the list of scenarios

    When done, click NEXT to proceed.

At this stage, select the vessel(s) which you want to assign the scenario to:


Once selected, click NEXT.

At the last stage, select the participants who will take part in the drill:

To do this, proceed as described below:

  1. Select the vessel to be affected by clicking the respective tab.

  2. Select the team you want to assign to the drill.

When finished, click SAVE.

As a result, a new record appears in the grid:

 

Define General Settings

To access the general settings of the Onboard Drills module, use one of the foloowing tips:

  • Log in to APP Administrator Portal. On the Home page, click Onboard Drills > General

  • Log in to APP Crew Portal and navigate to Onboard Drills > Setup > General

On the workspace, fill in the fields:

  • From the drop-down list, select the vessel to be affected

  • Register work type for timecard registration. From the drop-down list, select the drill worktype to be further used in timecard registrations

When done, click SAVE.
