How to add Projects and Vessel Projects

This article describes how we can create a project(s) and link it to vessels/rotation plans.

Description

Vessel Projects can be used for different purposes.

  1. To split the hours coming in from the Crew Portal per project.

  2. To assign a vessel to a project that for example requires, additional crew, certification, etc.

One project is associated with one rotation plan for one vessel. It allows specifying additional requirements for seamen included in the project.

For example, for a specific voyage, it can be necessary that all the seamen should have a US visa while for other voyages it is not mandatory.

Also, if a cruise liner needs an interpreter to be on board during a voyage while normally this position is not foreseen for the vessel, this additional position can be specified as an additional requirement for a project.

Create a new Project

To create a new project or find existing one(s):

  1. go to Setup > Tables > Projects Overview > Projects tab.

The same can be oped from the Rotation Planning > Project Definition.

  2. Open the Projects Tab and click New.

The Details tab should contain primary information, like:

    • Project Code

    • Text (name)

    • Date from/to

    • Project Manager (Optional)

    • Color (optional).

    • Sort numbers are used for the program to know in what sequence codes should be shown in drop-down list when assigning project to the vessel/plan.
For example, project record with Sort number ‘99’ will be shown at the end of the list, '3' - at the beginning.

    • Passive – set it ON if you want to make the code passive/hide.

    • You can also link the project to Project Type (added under General Codes > Vessel > Vessel Type, beforehand) and Project Header if needed.

  3. After entering all information, click the Save button.

Project Types

To be able to print reports where you can compare similar projects for different vessels, or just print a report for a specific project type, the system needs to know that it is the same type of project.

To do this, you can define Project Types in General Codes that will be linked up to the individual projects per vessel/department.

Project Headers

Project Headers are used for grouping purposes (unite related projects) and can be added on the Project Headers tab:

Fill in all necessary information: Code, Name,  Date from/to, Client, Number.

Select Vessel you want to link project to, leave some comment if needed.

Vessel Projects/Link a Project to a Vessel

We can link a vessel to the corresponding vessel project under Setup > Tables > Cost Dimensions Intervals > Vessel Project:

Click Add Vessel Link button:

The select vessel, assign a needed project and set date from/to > Save.
