How to add new department
This article explains how the administrator or crewing manager can add a new department into the system.
Introduction
There are two places in APM where you add departments: General Codes and Organization Structure.
Under the General Codes, we add a unique code/ record for the department. It makes sure that there won’t be any duplicates (e.g. there will be only one code for the Engine Department).
Under the Organization Structure, we create an organization tree with vessels and companies. For each vessel, there might be several departments added. Once we add the department unit we also need to link it to the Department Code from the General Codes. It is required for the system to identify this record since in the organization tree you will probably have several vessels and they will have the same or similar departments (e.g. Engine Department). And if we link those department units to the same General Code, the system would know that they are of the same nature/ type.
General Codes
Go to Setup > General Codes.
Open the Personal Details > Departments tab.
Note: Before adding the new code, check to make sure it doesn’t exist already.Click “New” to add a department code.
Organization Structure
When the code is added in General Codes you need to go to Organization Structure.
Find and select the needed vessel and add a new Department under this vessel.
Link this department unit to the correct Department Code from General Codes.
To do it you need to select the new department > open its properties > choose the corresponding code from General Codes.
Adding Position/ Rank
Once the department is added you also need to add the positions under this department.

Xref for integrations
If you have an integration with an external system like Otalio, Crewlink, or Fidelio it might be necessary to add the Xref Code.
