Confirm flags functionality


This article outlines the Confirm flags functionality as a means of additional confirmation before crew are snapped to crew change.


Introduction

The functionality has been implemented to allow our customers to plan the crew onboard in the Rotation Planning, without adding this crew to the Crew Change itinerary, so that onboard users who work with the Crew Change couldn't see this data.

The intended procedure for the sign-on is as:

  1. First, the HR team plans for the crew to come on board in the Rotation Planning.

  2. Then they contact the planned crew and get a confirmation that they actually could go onboard.

  3. And only after the confirmation is received the crew is added to the corresponding Crew Change itinerary.

For the sign off it is similar:

  • The HR team plans the sign-off in the Rotation Planning.

  • Then the department head onboard contacts the crew and confirms that the person is signing off.

  • And only after the confirmation is received the crew is assigned to the corresponding Crew Change itinerary.

How to enable/ disable the functionality

The confirm flags (C) functionality is enabled by default.

To disable it go to the Global Options > Rotation Planning and turn ON the Add person to crew changes without using Confirm flags option.

The Global Options are not replicated between the sites. Thus, you need to apply the changes separately on each site.

Functionality description

The functionality works only if you are using the Rotation Planning together with the Crew Change. Meaning that the “match sea-service dates with crew change itineraries” option is on for all the vessels.

In the Rotation Planning Module it is possible to add additional confirmation step before the person is added to the Crew Change itinerary.

When the functionality is activated there will be two additional boxes shown on the shift: first one for confirming the sign on, the second one for confirming the sign off.

  • If the box is empty (green color), this means that the sign on/ off hasn’t been confirmed.

  • If the box is filled in with C letter (blue color), it means that the sign on/ off has been confirmed.

The confirmation is performed through the Confirm button in the Ribbon Menu. Two options are available: Confirm Sign ON, Confirm Sign OFF

The same buttons are used to un-confirm the record in case you did it by mistake. You just need to click the button once again.

Be careful and do not confuse this functionality with regular Sign On/ Off in Rotation.

Adding persons with confirm flags

If Add persons to crew changes without using confirm flags option is OFF under Global Options -> Rotation Planning:

  • It is necessary to use the Confirm > Confirm Sign On / Confirm Sign Off command for the selected shift(s) to link the person to the itinerary.

  • For the shift records with dates less than today, the state of the confirm flags is set to confirmed automatically without using the Confirm > Confirm Sign On / Confirm Sign Off command.

  • If the sign-off/ sign-on date of the confirmed shift is changed, the person is automatically removed from the original itinerary. Thus, it is necessary to re-confirm the sign-on / sign-off dates for the new itinerary.

Adding persons without confirm flags

If Add persons to crew changes without using confirm flags option is ON under Global Options -> Rotation Planning:

  • Each person is being added to the Crew Change itinerary automatically without the necessity to confirm sign-on/ sign-off. No confirmation flags are required.

  • The same is with manually changing the shift dates or while using the Move subsequent shift function.
