FAQ: How to grant and remove pre-employees access to Adonis Personnel Portal (APP)


This article explains the process of providing access to the employee portal as an essential part of the pre-employment process, as well as the steps to revoke it when needed.


Introduction

On occasion, there may be a need to extend access to the Adonis Personnel Portal (APP) to individuals who are not yet officially employed, allowing them to input their personal information into the employee portal. This article outlines the procedure for granting such access as part of a pre-employment process, as well as the steps for revoking it when necessary.

Step-by-step guide

First-time setup:

  1. Open APM and make a new rank for "Pre-employment" in general codes.

  2. Make a new termination reason "End of the pre-employment period" in general codes.

  3. Go to “organization structure” and make a new folder containing pre-employed persons. This should be placed below the “Company” holding the employed staff.

  4. In the APP > Admin portal: make a new role in access control -> roles for Pre-employment. Give the role access to “my profile” and "my documents".

  1. Make a new user group for "Pre-employment" and link it up to the correct role and rank. Remember to save.

     

Start of pre-employment

  1. Create a new person in APM. Add necessary personal information and set status as "employed" from the date you want them to have access to the portal (the start of the pre-employment period).

  2. Open the APP and navigate into access control -> manage users. Press "Add employee". The newly created person with the "Pre-employment"-role should now show up in the table. Mark them and press "Add employee(s)". You should now get a successful response in an information box.

End of pre-employment

  1. In APM, select the person from the crew list and open personal details. Press "change employment state" and set the state to "terminated". Set the termination reason to "End of pre-employment period" (or another custom termination reason if you don't want to proceed with the recruitment process with this person) and pick a date for employment end (end of pre-employment period).

  2. If the person is proceeding to "real" employment status after pre-employment: set the employment state to "employed" again, and this time set the start date to the real start date (start of employment).
