Workflow, Stages, Email- and SMS Templates
New in the administrator module is the possibility to define numerous email and sms templates used in the various stages of a workflow. In version 2023.10, multiple workflows can be created and linked to one or more vacancies. This flexibility makes it possible to distinguish between processing various vacancies using specific feedback through email, sms and application forms at the various stages of the workflow.

Time Lines
New in 2023.10 is the Time Line concept, which gives a unique overview of the current and historical status of the application. The stages in the workflow define the information displayed in the applicant and manager timeline.

View applicants by Vacancies
New in the applicant manager module is the possibility to overview by vacancy. The system displays the number of applicants in the workflow and the underlying stages linked to the vacancy.

AWR-162 | Reorganize the Applicant Details screen | The applicant profile section has been fully reorganized in the Manager module. Profile header displays brief information: an applicant's name, his photo, and a vacancy he applies for. Also, it provides access to a functional button that allows to move an applicant to another stage in his application procedure. All the other applicant information is split into 3 sections: Timeline, an Applicant profile, and Applications.
The Timeline section shows a log indicating when some changes in an application procedure was made (i.e. when an applicant was moved from one stage to another stage). If an applicant also applied to another vacancy, a corresponding record indicates this in the Timeline (records related to other vacancies are displayed in grey). The Applicant profile displays actual applicant data. The data is shown according to a "summary" application template, which can be set in the Admin module > Applications. If the summary template is not defined, the system chooses a template randomly, so we strongly recommend setting up a summary template properly. The Applications section displays applications that an applicant submits during one application procedure. Note that when an applicant submits an application, the information he sends is frozen. When a manager views the application, he sees information that was actual at the moment of submission. Since then an applicant might have updated his information - these changes are always available in the Applicant profile section, which shows actual data.

New columns Stage and Entered Stage have been added to the applicant's grid. They display information about the stage where an application procedure is, and when an applicant entered the stage. The left side-menu lists stages where applicants are currently, which allows filtering applicants by stage. A new button Move selected to the next stage is added. It automatically moves selected applicants to the next stage in their workflows. |
AWR-160 | Workflow set up | Adonis introduces a new concept of workflow in this version. A “workflow” can be described as a row of consequent steps that an applying procedure runs through. For example, a simple Web Recruitment workflow may consist of 4 stages: Interested, Applied, Accepted, and Rejected. An administrator can set up a workflow in the Admin module > Workflow Set Up. An administrator can create several workflows for the situation when different applications are to be sent to applicants, or applying procedures need to have different steps, or when different emails are to be sent during the application process. Click the Edit button to start editing stages of a specific workflow. You can define the following properties for each stage:
After the workflow has been set up, it is necessary to assign workflow to a vacancy on the Vacancies on Layouts screen in the Admin module.
