Summary

The report gives an overview of persons' documents (competence/ travel/ medical) against company-required setup.

Description

The report gives an overview of persons' documents (competence/ travel/ medical) against company-required setup under Requirement Profile (for competence) and Org.structure > Company > Crew Change (for medical and travel).

It is also possible to create a temporary customized requirements setup, which will not affect actual APM settings but will help to see if persons are in compliance with certain requirements.

Dialog

Vessel Pool / Vessel / Departments - to filter required vessel only

Positions - shows distinct names of positions under selected Department(s)

Date From / To - period used to define persons with sea-service activities

Display Full Name - shows first + middle + last name (when On) or last + firstname (when Off)

Display Medical and Travel requirements - allows to include Medical & Travel documents to validation

Display Report Legend - to show/hide legend for symbols used in report

Use Custom Competences - allows to switch report logic from basing on Company requirements to any custom set of Competence codes. Company requirements are ignored completely

Columns Sort By - to apply Competence sorting based on Code/Name/SortOrder

Rows Sort By - to apply crew sorting based on Rank/Pin/SortOrder

Details

Displayed columns are the competence documents required by all positions currently onboard the selected vessel. Indicate if a required certificate is missing.

  • Use custom competence
    OFF = uses Position Requirements Profile activated set (Org.structure > Position > Requirements)
    ON = verifies #PositionRequirements_Persons distinct numorgids against selected Competences. Position Requirements setup is ignored for competencies, but still true for medical & travel
    For this mode logic is as follows:
    IF selected competence is required for a position - cell has gray background
    ELSE cell has no background and text "Not required"
    ELSE use standard selection for position requirements

  • Coloring
    yellow / red - number of days to define Expiry/Close to Expiry is defined in Global Options > Expiry

  • Asterisk mark
    Symbol * is set if reported documented is replaced acc. to Competence Replacements settings

  • Сompetence header text
    If Competence type is 'None', 'Education', 'Training', 'Language Proficiency' then header shows 'Completed', else 'Expiry'

  • Сompetence cell status
    Crossmark is shown if person doesn't hold required competence. If he holds then for Completed header shows 'OK', for others 'No Expiry Date'

  • Cross mark “X”- is shown if a person doesn’t hold required Competence. Also used for missing Travel/Medical documents.

  • Check mark “V” - used for non-expiring Competence (with Competence type 'None', 'Education', 'Training', 'Language Proficiency')/Travel/Medical documents.

  • No Expiry Date – is shown if a person has required Competence with types ‘Certificate’, ‘Endorsement’, ‘License’, ‘Medical’ and ‘Travel’.
