Interface Preparations

The interface needs to know the lowest organization unit that contains all the active employees. The system will find all employees linked to this organization as well as to the organizations below. In addition to the Active organization, the system needs to know the organization identifying the Suspended employees.
The system also needs to know the range of sorting numbers that identifies the competences codes that need to be uploaded or do wnloaded.


Activating the LMS Interface

Go to Setup > Global Options > Training Portal > LMS:

  1. Select the check box to activate the interface. This will create the customized topic storing the return values from the interface for each employee, and the view listing all employees with LMS return data
  2. Contact Netdimensions for the following authentication details:
    URL to the API, Login, Password and Security Key
  3. Structure in LMS to which the users are linked, information from NetDimensions
  4. This is the range of sorting numbers of the certificates that will be uploaded and or downloaded from LMS
  5. This is the organization that contains the employees that are part of the LMS interface. All employees linked to this organization or an organization below are part of the LMS interface
  6. Similar as for the Active users but this organization contains the users that are suspended. If an employee is placed in this organization or an organization below the employee will not be uploaded or downloaded to or from the LMS server
  7. This function is obsolete. The employment end date will be used to identify if a person is closed.


Once the system is activated you find:

  1. a customized topic labelled LMS Interface listing the latest interface status like last time the information was uploaded user id and status (active, suspended, or closed):
  2. a new crew list view listing the all persons that are activated for the LMS interface:


  3. The function to upload or download information:



Access Rights

The access rights to view and customized topics are handled the same way as for manually added customized topics and view.
Access rights to the actual LMS eLearning interface you find in the ACC.

Functionality

Add New Employees / Upload End-User Modifications

Select Tools > Interface > LMS eLearning > Maintain Users


  1. Total accounts below the organization identifying the Active, Suspended and Closed users
  2. New users, users below the organization Active that have not been uploaded. The customized topic does not contain any information.
  3. Active user where the bio data, like name birth date or status has changed (moved from active to suspended or employment end date is set
  4. Total accounts below the organization identifying the suspended users
  5. None employed employee (employee end date is set)


  6. Press upload to update the LMS Server


The system displays a log listing the status of the operation, number of person updated number of errors and those employees missing mandatory information required by the LMS interface:

To Plan and Upload Courses

  • In the course scheduler plan, add a course and assign course participants.
    The system creates a planned competence record for all participants in the competence data-group.
    If the sorting number of the planned competence code falls in the range of sorting numbers set in the global options, the competence /course will be uploaded to LMS:



  • Go to > Tools > Interface > Press Upload Planned Courses:

To Download the Course Status from LMS

Go to > Tools > Interface > Press Download Courses / Competences.

If a course is passed in the LMS, this routine will find the planned course in the competence datagroup and set it to historical:


To Close User Accounts

Terminate the user in the APM

  • Go to Datagroup > Personnel Details > Employment and press terminate. Fill-out the termination date a reason.
    Next time you press Maintain end users the employee will be closed in LMS

To Suspend User Account

Move the employee to the organization used to identify the suspended employees.

  • Go to Datagroup > Personnel Details > Employment Tab > select the organization and press Save
    Next time you maintain the end users, the employees will be Suspended in LMS

To Reactivate an End User

Move the end user to the organization or organization below identifying the active employees.

  • Go to Datagroup > Personnel Details > Employment Tab > select the organization and press Save
    The employee will be Activated next time you Maintain the end users.

Last Know Status in LMS

To retrieve an overview of the status of the employees uploaded
The view LMS Training portal gives you an overview of the employees and their interface status.
This contains Errors If a person failed to upload, the last known status in LMS:
