Selections in Crew List

Introduction

There are situations when you need to get a list of people who meets certain criteria.

Adonis provides different ways to save the selections in Crew List Module. 

You can save either a fixed list that will be re-opened exactly as it was saved, or you can save a selection that contains a list of requirements - so next time when you load it, you will see people who meet this requirement.

There are 3 types of selections available in the Adonis Personnel Manager:

  1. Static Selections are historical selections of persons that can be saved for later. These selections are always fixed (contain the same number of persons) and never get updated because of the changes in the database.

  2. Dynamic Selections store a set of criteria that can be saved and later re-used.
    Thus, it allows you to prepare a range of the most used selections that can be quickly re-loaded by the users at any type. This saves time and improves user workflow.

  3. Date Dependent Selections is a user-friendly and flexible way of searching the information on persons who are on board a certain vessel today.
    The same result can be achieved by the Adonis Query tool (Dynamic selection).

Static and Dynamic selections can be of two types Private and Common:

  • Private selections can be reloaded only by a user who created them.

  • Common selections are available for everyone.

Static Selections

Static selections save a fixed set of PINs for further use. They do not depend on the changes made in the database.

For example, if you have worked with a crew list containing 10 persons and would like to save it for further use tomorrow, you may create a static selection.

The same 10 persons will be in your crew list when you load your selection the next day or any other time.

Static selection can be either Private or Common:

  • Private selection is available only to the user who created it, it will not be available to other users.

  • Common selection is available to all the users.

Creating a new Static Selection

To create a new static selection:

  1. Make a selection of people in the Crew List that you want to save.

    • You can use filter on column for a simple selection.

    • Adonis Query for a more complex selection.

    • Or you can manually select the persons you need in the Crew List and cut them into a temporary selection as described below.

  2. Once the selection is ready click Save Selection > Static Private/Common in the Ribbon Menu.


    Another way is to right-click on the record > Save Selection > Static Private/Common.

  3. Click New to add a new selection.

     

  4. Input the Name and click OK to save it.

Loading a Static Selection

You can load a selection by choosing Open > Common or My selections (Private selections).

Another way is to right-click on the record > Open Selection > Static Private/Common.

Dynamic Selections

In contrast to a Static selection a Dynamic selection stores a set of criteria (not a fixed list of PINs), so some database changes may affect the result of this selection. 

Every time you load a dynamic selection the program selects from a current Crew List according to the stored set of requirements.

Dynamic selections are created in the Adonis Query tool (Edit > Selection > Adonis Query).

For example, you may create a selection that shows you all the Chief Officers.

So, if some Chief Officer got a higher position - e.g. Master, he will not be shown in the selection any more.

Dynamic selection can be either Private or Common.

  • Private selection is available only to the user who created it, it will not be available to other users.

  • Common selection is available to all the users.

Creating New Dynamic Selection

  1. Open the Adonis Query and define the required criterion.
    e.g. to find all persons who have certain rank/activity/documents.

     

  2. Once the selection is defined, press the Save button in the Ribbon Menu.

  3. In the window that appears you need to define if it is a Private selection or Common.

Loading Dynamic Selection

You can load a selection from the Ribbon Menu. Click the Saved Queries button and choose the selection type Dynamic Common / Private.

You can also run it from the quick access menu.

Right-click on Crew List and select Load Selection > Dynamic Common / Private.

Besides you can load a selection directly from the Adonis Query.

Press Load > Dynamic Common / Private.

The requirements stored in the selection will appear in the Adonis Query. This possibility may be very useful if you need to change some requirements, then you can re-save the selection.

Date Dependent Selections

Date Dependent selections are based on activities and store a requirements set.

However, in contrast to Dynamic selections Date, Dependent selections are always connected to today's date, so they search for people who have activities today.

One of their applications is a possibility to view the crew who are onboard on a particular vessel at the moment.

Important! Before using Date Dependent selections you have to create the Activity Categories and link them to Activity Codes.

  1. Open Setup > General Codes Table.

     

  2. Go to Activities > Activity Categories.

  3. Enter some Activity Categories.
    e.g. Onboard, Leave etc.

  4. Then go to Activities Codes and assign corresponding category to each Activity Code.


    Now you are ready for creating your first Date Dependent selection.

Making New Date Dependent Selection

  1. In the Ribbon, Menu click Save > Date Dependent under the Selection section.


    Another way is to right-click on the record > Save Selection > Date Dependent.

     

  2. Specify selection criteria to find the needed person in the dialogue window.
    You can use right-click to tag/ un-tag all possible records.

     

  3. Save the selection.

Note: It is very convenient to create Date Dependent selection for each vessel to have a possibility to view the crew onboard today per vessel.

Loading Data Dependent Selection

You can load a selection by choosing Open > Date Dependent.

Another way is to right-click on the record > Open Selection > Date Dependent.

Note: Planned activities are not included into the Date Dependent Selection, people were not yet confirmed to me onboard.
