Adonis System Architecture and Technical Requirements

Installation

If your company has gone for a local installation, you can perform the installations at any time, as long as you have received your license file.

The latest releases and direct links for downloading the executables can be found here. We recommend installing the latest releases for all applications.

Defining General Codes

General Codes is used as a term for pre-defined codes that will be used throughout the system in various drop-down tables and similar.

In this excel-sheet, you find sample General Codes which you can replace with your own. Your Adonis Project team can have these imported to your system during the project.

Contract type

Used to identify if the persons are hired on an annual basis, seasonal basis, temporary, etc. It does normally not say anything about when a person is actively onboard a vessel, only for what period of time the person is active in the company.

Personal Section

Recommendation:
Contracts can be set up as a competence codes in order to track Expiry date, and to set as required document to be in place for an onboard period.

Departments

Used to identify the departments on have on a vessel. It is also used for being able to open a Rotation plan by department, but for several vessel. E.g. one wants to look at the schedule for the Deck department across all vessels.

Embark_Disembark

These are the reasons for why a persons signs on or off a vessel. It can be a normal end of contract, or it can be due to medical or other ad hoc reasons.

Rank

Used for assigning a person to a Rank, as well as for creating the organization structure onboard a vessel. In order to create a position onboard, the rank must exist in General Codes table.

Religion

Used if there is a need to track the religion of a person. Please note that this is considered sensitive data and should be risk assessed if it is to be used.

Termination Reason

Reasons for why a person is no longer active within the company. It should not be confused with Disembarkation reasons. Termination reasons might be that a person is deceased, has started working for another company or similar.

Travel Documents

These are the codes used when the user wants to register e.g. a passport information on a person. Other examples are Visas and Seamans book.

Travel Views

Used to group the different Travel Documents into different tabs. Normally one view containing all travel documents will be enough.

Competence Documents

These are the codes used when the user wants to register what kind of certificates a person holds. It is also used for tracking drills and language skills. Each certificate, drill, language or other must have its one code

Competence Views

Used to group the different Competence Documents into different tabs. E.g. one groups Language certificates into one group, Drills into another group, STCW certificates in a separate group. A group will use the Sort/GroupNo on the Competence Document to have it included or not.

The tabs can later be set with security so that not all users has access to all documents on a person if they do not need it.

Medical Documents

These are the codes used when the user wants to register e.g. a medical certificate on a person. Other examples are Yellow Fever, X-rays, etc.

Medical Views

Marital Status Codes

Used to identify the person’s marital status

Used to identify the relationship the crew/employee has to the Next of Kin that will be registered

Family View

Used to group the different Next of Kin’s entered into the system in one tab. Normally one view containing all Next of Kins will be enough.

Currency Codes

Used in payroll or contracts/payroll. Used to set the currency the company is using, the currency a crew is paid in, or the currency of the contract of the person.

Colors

Colors are used for registering eye and haircolors which some Ports requires when going through customs.

Activity Codes

Used to track the movement of a person. E.g. when was a person onboard, when was he at home, is he sick, travelling, visiting office, etc. An activity is always registered with a Date From and Date To, and a person can only have one activity for a day.

Measurements

Used for registering Crew Effects which is needed in some Ports and customs reports.

Import of data

Import of persons

It is possible to import a .csv file that will create a new person or update an existing person.

Import of competences

This import tool is used to import competencies from an external source.

This import tool is used to import batches of scans and link to an existing Travel, Medical, or Competence record.

The utility provides a swift way of importing historical, current, or future activities from a .CSV file. The file should contain one header line that lists columns titles and then lines with information about activities in a corresponding order
