ATPI CrewLink Travel Interface

Introduction

ATPI CrewLink is an online service that gives you the possibility to book, confirm and cancel flights directly on the website. APM uses the service to make crew travel more efficient by simply collecting the personal data of an employee and sending it to CrewLink.

The interaction between the systems becomes even more convenient with an embedded ATPI CrewLink interface which allows tracking a complete booking workflow while synchronizing vital booking data with changes in APM.

Functionality

APM allows initiating the flight booking procedure from two different places. Use one of them:

The Flight Details datagroup to book a flight for a single person. For more information, see Booking from Flight Details.

The Crew Change module to book flights for multiple crew members at the same time. For more information, see Booking from Crew Change.

On creating a flight request and sending it to ATPI-CrewLink, a user can now keep track of the way the flight booking requests are being processed. This assumes the following:

  • Reviewing flight offers

  • Negotiating flight offers and submitting change requests

  • Canceling or approving flight offers

  • Submitting refund requests

Once the flight booking request has been successfully processed and a ticket has been issued, an employee can access the personal flight booking area in Crew Portal.

Booking from Flight Details

You can create a flight booking request for a single person from the Flight Details datagroup. To get started:

  1. From the crew list, select a crew member for whom you want to book a flight.

  2. Switch to the Datagroups ribbon tab and use one of the following tips:

    Click the Flight Details datagroup.
    Use the Ctrl+I hotkey combination.

As a result, the Flight Details datagroup becomes active from the Manage tab where you can start working on flight requests. To do this, click New on the ribbon. Clicking the command makes the Book Flight dialog appear on the screen:


Within the Book Flight dialog, fill in the fields as described below:

  • Booking Number is a request number assigned by ATPI-CrewList.

  • Travel ID is an identification number provided by ATPI-CrewList.

  • Direction. Select the flight direction: Home Bound (from a vessel) or Out Bound (to the vessel).

  • Departure Airport (mandatory). From the drop-down menu, select the airport from which a passenger will fly.

  • Departure Date (mandatory for the Home Bound direction). Select the date when a passenger must leave.

Booking flights is only available for future dates.

  • Depart after time. Indicate the time after which you plan the flight. The time format is home.

  • Arrival Airport (mandatory). Select the airport of destination.

  • Arrival Date (mandatory for the Out Bound direction). Select the date when a passenger must arrive.

Booking flights is only available for future dates.

  • Arrival before time. Specify the time before which a passenger must arrive.

  • Level of Urgency. Select the urgency level from the drop-down menu. 

If the Urgency Level selection is unavailable, be advised to define the urgency levels by following the instructions in Urgency Levels Setup.

  • Internal Comments. Add any comments you may want to include in the booking request.

  • ATPI Comments. Examine the comments provided by ATPI CrewLink when performing a booking.

  • The organization is automatically defined based on the company to which a passenger is assigned.

  • References contain passenger-related data which you may want to include in the flight booking request. For more information on how to create references, see References Setup.


When completed, click Book! to send the request to ATPI-CrewList for further processing.

After sending the booking request to CrewLink, it will then appear in the Flight Inbox module. For more information on the management of flight booking requests, see Flight Inbox.

Ribbon Bar Commands

On creating a flight request, various commands become available to you on the ribbon bar:


Click New to create a flight booking request. For more information, see Booking from Flight Details

Click Book Return to create a return ticket request only for flights with status Created or None

Click Refresh to update the status of the selected flight booking request. The request is sent to CrewLink and forces it to return the booking status.

Click Cancel to stop processing the flight request. On clicking Cancel, the booking status changes to CANCEL_RQ, and the cancel request is immediately sent to ATPI CrewLink. In case ATPI CrewLink confirms the cancellation, the status becomes CANCELLED.

Click CrewLink to access the ATPI CrewLink web interface which allows you to manage the workflow:

  • Review flight details

  • Approve product fare. This results in the APPROVED booking status > ATPI CrewLink sends flight offers.

  • Reject product fare

  • Initiate the itinerary change


Click Send profile to update a passenger's profile in case any modifications have been made.

When initiating the booking request, by default, APM sends the required personal data of affected crew members to CrewLink. In case any changes have been applied to a traveler's profile, click Send profile to immediately send this update request to CrewLink.

Click Itinerary to view the flight itinerary.

Click Delete to remove the selected record. The command is available for flight requests with the Created, Cancelled, or None status.

Click Print to create a print version of the Flight Details grid.

Click Notes to leave some notes which will be available for all users of the Flight Details datagroup. Besides, the notes will appear in the Notes datagroup under the Flight details tab.

Click Audit Trail to check the changes made to a flight booking request (e.g. arrival and departure date/time, airports, statuses, etc.):

Booking from Crew Change

You can book flights for several crew members with the help of the Crew Change module. To access the module, click the Crew Change module in the Modules ribbon tab. The module becomes active from the Manage tab.

Within the module, create a flight booking request by following the steps below:

  1. Select the required crew change port and go to Details > the Flight Booking tab.

  2. In the View group of the Manage ribbon tab, select the type of activity linked to the crew-change: From Vessel (for off-signing crew) or To Vessel (for on-signing crew).

  3. Click Add on the ribbon to open the Add Crew dialog which contains all the crew assigned to on-/off-signing crew change respectively:

  4. Within the Add Crew dialog, select the crew member(s) for whom you want to book flights and click Copy Selection to proceed.
    This results in displaying a flight booking request with the Created status in the grid of the Flight Booking tab:

     

     

  5. Enter the required travel data into the fields right above the flight booking grid:

    • Nearest Airport. Select the airport to be added as Arrival or Departure Airport for the selected on-/off-signers respectively.

    • Travel Time. Specify in the format hhmm.

    • Dpt. Date/Arv. Date.

    • Dpt. After time (hhmm)/Arv. Before time (hhmm).

  6. In the grid, from the drop-down list of the Urgency Level column, select the level of urgency of the flight booking request. When done, click the Apply to all button on the ribbon to set the value of the selected booking request to all displayed records.

  7. Select the crew member(s) for whom you want to book a flight(s) and click Apply:

     

  8. Select the crew member(s) to be processed for flight booking(s) and click the Book Flight button on the ribbon. Clicking the command launches the validation of all the provided data before sending it to ATPI-CrewLink. In the Booking's Remarks dialog which appears if the validation is successful, you can leave any comments and click Book:

     

When completed, the status of the processed booking changes to NEW_RQ. The status enables CrewLink to assign a unique Travel ID to the flight booking request:


Besides, you can manually link new flight booking requests to the existing Travel ID if the references values are the same. In this case, new flights will be grouped by the references meeting the following criteria:

  • Location is set to Header

  • Used In is set to Crew Change

  • Type is set to Dynamic

Following the references criteria, the fetched values must also coincide. Let us suppose that the Reference is created with the criteria: Name = Department, Location = Header, Used In = Crew Change Module, the Dynamic type = Activity - Department. Under the conditions, the existing Travel ID will only be available for assigning to other flights if the affected crew members are linked to the same departments.

After sending the booking request to CrewLink, it will then appear in the Flight Inbox module. For more information on the management of flight booking requests, see Flight Inbox.

Booking after Rescheduling

Flight booking may be completed beforehand, at the planning stage of sailing. This may result in the need to reschedule crew members and, thus, changes of sign-on/off dates. For more information on how to reschedule crew members either in the Crew Change module or the Rotation Planning module, see the Reschedule On-/Off-Signers or Assigning and Removing Crew chapter, respectively.

On rescheduling, the system notifies you that changes have been made and offers you to take one of the actions:

  • Flag as modified. Select the option to mark the record as modified. The record status then changes to CONDITION_CHANGED.

  • Cancel Flight. Select the option to cancel the flight booking. The record status then changes to Cancelled.

  • Keep Booking. Select the option to leave the flight booking unchanged.

On selecting one of the options, click Execute to view the respective changes in the Flight Booking grid:

Ribbon Bar Commands

There are different commands available to you on the ribbon bar:

Click Overview to navigate to the Calling Ports tab which allows switching between the crew changes in the Crew Change module.

Click Tag All / Untag All to select/deselect all the records in the grid.

Click Book Flight to initiate the flight booking after creating the flight request. For urgent flight booking requests, click the down-arrow on the Book Flight button and select Urgent Booking.

Click Refresh to update the status of the selected flight booking request. The request is sent to CrewLink and forces it to return the booking status.

Click Add to select a crew member for whom you want to book a flight.

Click Remove to delete the flight requests with the Created or Cancelled status.

Click Cancel to stop processing the flight request. On clicking Cancel, the booking status changes to CANCEL_RQ, and the cancel request is immediately sent to ATPI CrewLink. In case ATPI CrewLink confirms the cancellation, the status becomes CANCELLED.

Click CrewLink to access the ATPI CrewLink web interface which allows you to manage the workflow:

  • Review flight details

  • Approve product fare. This results in the APPROVED booking status > ATPI CrewLink sends flight offers.

  • Reject product fare

  • Initiate the itinerary change


Click the Apply to all button on the ribbon to duplicate the urgency level value of the selected booking request through all displayed records.

Click Audit Trail to check the changes made to a flight booking (e.g. arrival and departure date/time, airports, statuses, etc):


Select From Vessel or To Vessel in the View group to let the system know whether an on-signing or off-signing activity is to be considered.

Flight Inbox

After creating flight booking requests, they are then moved to the Flight Inbox module for further processing. To access the module, go to the Modules ribbon tab > Flight Inbox or use the Ctrl+Alt+T hotkey combination.

The Flight Inbox module enables you to manage the flight's requests created for crew members as well as to track all the changes made by the ATPI CrewLink travel agent. To get started, in the View group of the Manage ribbon tab, filter the records by selecting My Flights (flights created by the current user) or All Flights (flights created by all users) as well as From Vessel (for off-signing crew members) or To Vessel (for on-signing crew-members):


While processing, the flights are being distributed between the tabs on the Views pane. The tab's names correspond to the status of the flights. Let us examine each tab in detail:

  • Action needed becomes available only in case any conditions required for booking flights have been changed (e.g. an activity has been removed) and the action has been applied to Flag as modified:


    Such flights are added to the Action needed tab where you can choose to cancel or process them as new requests. The flight requests are then moved to the tabs corresponding to their new statuses.

  • The new request contains bookings with status NEW_RQ that were sent to a CrewLink travel agent for processing. On the tab, you can cancel, update the latest status for the selected flight bookings and log into the embedded CrewLink user interface.

  • Pending confirmation displays flight booking requests with the PENDING_CONFIRMATION status (once the fare is offered for a booking) or the REVALIDATION_PENDING_CONFIRMATION status (if a user requests for a change after the ticket has been issued). On the tab, you can cancel, update the latest status for the selected flight bookings and log into the embedded CrewLink user interface.

  • Confirmed contains flight bookings confirmed (fare is approved) by a user but not ticketed by ATPI CrewLink yet. Such flight bookings are with the APPROVED status. On the tab, you can cancel, update the latest status for the selected flight bookings and log into the embedded CrewLink user interface.

  • Rejected displays the flight bookings for which the fare has been rejected.

  • Change Request displays the flight bookings with the CHANGE_RQ status. Such requests are stored in this tab until a travel agent applies for a new status: REVALIDATED or PENDING_CONFIRMATION.

  • Issued displays the flight bookings for which tickets have been provided by a travel agent. Such tickets are listed with the ISSUED status. In addition, you can view the requests with the REISSUED and REVALIDATED statuses assigned in case tickets have been issued after processing change requests. On the tab, you can cancel, update the latest status for the selected flight bookings and log into the embedded CrewLink user interface.

  • Revalidated displays the flight bookings for which tickets revalidation is in progress.

  • Canceled displays canceled bookings. Both APM and ATPI CrewLink can initiate a cancel request. On the tab, you can cancel, update the latest status for the selected flight bookings and log into the embedded CrewLink user interface.

  • Refund displays the flight bookings with the REFUND_REQUEST status (a refund request after a ticket has been issued), REFUND_REJECTED (refund request is rejected by CrewLink/airline company), REFUND_ISSUED, and REFUND_UNDER_PROCESS statuses.

  • All stores all the booking requests irrespective of their statuses.

  • Expire contains expired flight booking requests for which tickets have not been issued by the required date.

eProfile Update

There is another option to update the crew members' passenger details in one push.

  • Select persons from a Crew List View then click on the eProfile Update.

  • The log will display if the update is successful or not.

 

Housekeeping

To ensure the interaction between APM and ATPI CrewLink is smooth and efficient, cover the workflow of a one-time setup. The setup is required to handle flight bookings by your specific needs.

Communication Setup

To get started, you must establish a connection with the CrewLink server. To do this, navigate to the Setup ribbon tab > Global Options > Datagroups > Travel Interface:

Within the dialog, first, select CrewLink from the Interface drop-down list. On selecting, the configuration settings to be set up for the CrewLink interface become available to you.
In the Booking section, you can access the details required to get connected to the ATPI CrewLink service. Most of the details are provided by ATPI CrewLink:

  • The server is an URL to the APTI CrewLink server.

  • Username is your username in the APTI CrewLink interface.

  • Password is your password in the APTI CrewLink interface.

  • Customer UUID is required to identify a user in the system.

  • Interface Code is a user-defined cross-reference between codes in CrewLink and APM. For more information, see CrewLink Interface Code Setup.

  • Application ID is an application ID number in the CrewLink system.

In the Embedded CrewLink section, enter the URL provided by CrewLink. On entering, you will be able to log into the CrewLink service directly from APM. The embedded interface allows you to approve, reject or request changes to your bookings. If you want to end your CrewLink session, click Reset Connection.
Select eProfile to turn on the feature which allows sending updated personal data in the Flight Details datagroup to CrewLink. Selecting eProfile enables the fields to be filled in:

  • The server is an URL to the server.

  • A license is a license number assigned to the server.

  • Interface code is a user-defined cross-reference between codes in CrewLink and APM. For more information, see CrewLink Interface Code Setup.

Select Debug mode and specify the path to the folder where you want to store all the booking request and response files.

References Setup

You can define the references that will be displayed in the References section of the flight booking request. References may vary depending on whether the Crew Change module or the Flight Details datagroup is used to initiate the booking request. The feature is primarily aimed at identifying how people should be grouped in the Travel IDs when making the bookings.
To create references, navigate to the Setup ribbon tab > Global options > Datagroups > Travel Interface > the References tab:

To create a reference, click the Insert button at the bottom of the References tab. This invokes the New Reference dialog:



Within the dialog displayed, proceed as described below.

  1. Specify the Name of the reference you want to be added to the flight booking request.

  2. Define where the reference is to be located in the flight request file by selecting Header or Pax (where passenger details are indicated).

  3. Select where the reference is to be used by setting either Crew Change Module or Datagroup Flight Details.

     

  4. Select the type of value you want to define for the reference:

    • Fixed Value allows setting a custom value or a set of comma-separated values for a new reference.

    • Dynamic values are based on the person's activity or company link. It means that the system will fetch the value from the selected activity/company link.

  1. Click Add to proceed.

References Application

Let us examine the references application in more detail. To do this, access the New Reference dialog:

Within the dialog, proceed as described below:

  1. In the Name field, create a reference named Currency.

  2. In the Fixed Value field, define the values to be available for selection: dollar, euro.

  3. In the XML Location sector, select Pax to display the referenced data at the main part of the output file.

  4. In the Used in the sector, select Datagroup Flight Details.

  5. Click Add to proceed.

As a result, a new reference then appears in the grid:

Now, navigate to the Flight Details datagroup and click the New button on the ribbon. This opens the Book Flight dialog:

Within the dialog, you can see the list of references created in the Travel Interface References tab (Global Options). In the Currency drop-down list, select a value from those previously defined: dollar, euro.

When booking flights, you may need ATPI CrewLink to handle some extra data such as vessel, department, position, and rank names. This data is exported with the help of cross-references defined in the system (see Cross-Reference Setup) and further linked to the CrewLink interface.

To configure the CrewLink interface, go to the Setup ribbon tab > General Codes > Miscellaneous > Interfaces and proceed with the following steps:

  1. On the ribbon, click New to make the dialog appear:

  2. Enter a Code (mandatory field), a unique alpha-numeric APM code.

  3. In the Text field, indicate the name of an interface and its alternative name, if needed, in the Alternative field.

  4. In the Sort field, define the order number of a record (where 0 means the first record in the list).

  5. In the Is Passive field, specify whether the code is to be active or passive. Passive codes appear as disabled. It is recommended to set a code to Passive if it will no longer be in use.

  6. Click OK to proceed.


As a result, a new record appears in the grid of Interfaces:

Cross References Setup

For easy handling, APTI CrewLink requires cross-references to be created for such values as vessel, department, position, rank, manning agency, disembarkation, and embarkation reasons. The cross-references define the code's corresponding fields between the applications.

In this chapter, we will guide you through the procedure for creating a cross-reference between the codes in APM and codes in ATPI CrewLink.

Travel Documents Cross References

In addition to sending the booking requests, a user may send the profile information which includes travel documents details (ID Number/Expiry Date, Seaman's Book Number/Expiry Date, C1/D Visa Expiry Date, EU Schengen Expiry Date).

To identify the travel document which needs to be used, add the appropriate cross-reference for the ATPI CrewLink interface. To do this, go to the Setup tab > General Codes > Travel Documents > Travel Document Codes:

  1. Select the travel document to which you want to add a cross-reference and click Open on the ribbon.

  2. Within the General Code Editor (Travel Document Codes) dialog, switch to the XREF tab and click the Append button. Clicking the command enables the fields to be filled out:

    • Interface. Select CREW LINK from the drop-down list. If the CREWLINK selection is unavailable, you need to define the CrewLink interface by following the instructions in CrewLink Interface Code Setup.

    • Xref Code. Enter a cross-reference provided by ATPICrewLink for this particular record.



    • Comment. Enter any comment you want to add.

  3. When completed, click OK to confirm the changes.

To define cross-references for embarking/disembarking reasons, go to the Setup tab > General Codes > Personal Details > Embarking/Disembarking Reasons:

  1. Select the reason to which you want to add a cross-reference and click Open on the ribbon.

  2. Within the General Code Editor (Embarking/Disembarking Reasons) dialog, switch to the XREF tab and click the Append button. Clicking the command enables the fields to be filled out:

    • Interface. Select CREWLINK from the drop-down list. If the CREWLINK selection is unavailable, you need to define the CrewLink interface by following the instructions in CrewLink Interface Code Setup.

    • Xref Code. Enter a cross-reference provided by ATPICrewLink for this particular record.

    • Comment. Enter any comment you want to add.

  3. When completed, click OK to confirm the changes.

To differentiate between the reasons, make sure the appropriate type of reason has been set on the Options tab:

Vessel Cross References

To define a cross-reference for a vessel, go to the Setup tab > Organization structure:

  1. Select the vessel to which you want to add a cross-reference.

  2. Switch to the XRef tab and click the Append button. Clicking the command enables the fields to be filled out:

    • Interface. Select CREWLINK from the drop-down list. If the CREWLINK selection is unavailable, you need to define the CrewLink interface by following the instructions in CrewLink Interface Code Setup.

    • Xref Code. Enter a cross-reference provided by ATPICrewLink for this particular record.

       

    • Comment. Enter any comment you want to add.

  3. When completed, click Apply to save the changes.

Department Cross References

To add a cross-reference to a department, go to the Setup tab > Organization structure:

  1. Select the department of a crew member.

  2. Switch to the XREF tab and click the Append button. Clicking the command enables the fields to be filled out:

    • Interface. Select CREWLINK from the drop-down list. If the CREWLINK selection is unavailable, you need to define the CrewLink interface by following the instructions in CrewLink Interface Code Setup.

    • Xref Code. Enter a cross-reference provided by ATPICrewLink for this particular record.

       

    • Comment. Enter any comment you want to add.

  3. When completed, click Apply to save the changes.

Position Cross References

To add a cross-reference to a position, go to the Setup tab > Organization structure:

  1. Select the position of a crew member.

  2. Switch to the XREF tab and click the Append button. Clicking the command enables the fields to be filled out:

    • Interface. Select CREWLINK from the drop-down list. If the CREWLINK selection is unavailable, you need to define the CrewLink interface by following the instructions in CrewLink Interface Code Setup.

    • Code. Enter a cross-reference provided by ATPICrewLink for this particular record.

       

    • Comment. Enter any comment you want to add.

  3. When completed, click Apply to save the changes.


Alternatively, you can define a cross-reference for a position in the General Codes setup. To do this, go to the Setup tab > General Codes > Personal Details > Ranks. Within the displayed list of records:

  1. Select the position to which you want to add a cross-reference and click Open on the ribbon.

  2. Within the General Code Editor (Ranks) dialog, switch to the XREF tab and click the Append button. Clicking the command enables the fields to be filled out:

    • Interface. Select CREWLINK from the drop-down list. If the CREWLINK selection is unavailable, you need to define the CrewLink interface by following the instructions in CrewLink Interface Code Setup.

    • Xref Code. Enter a cross-reference provided by ATPICrewLink for this particular record.

       

    • Comment. Enter any comment you want to add.

  3. When completed, click OK to confirm the changes.

Office & Manning Agency Cross References

To define a cross-reference for an organization, go to the Setup tab > Organization structure:

  1. Select the organization to which a person is linked.

  2. Switch to the XRef tab and click the Append button. Clicking the command enables the fields to be filled out:

    • Interface. Select CREWLINK from the drop-down list. If the CREWLINK selection is unavailable, you need to define the CrewLink interface by following the instructions in CrewLink Interface Code Setup.

    • Xref Code. Enter a cross-reference provided by ATPICrewLink for this particular record.



    • Comment. Enter any comment you want to add.

  3. When completed, click Apply to save the changes.

Urgency Levels Setup

When creating a booking request, you can specify whether it is urgent or not. For this, first, define the urgency levels you want to use when flight booking.

To define urgency levels, go to the Setup ribbon tab > General Codes > Travel > Levels of urgency and proceed with the following steps:

  1. On the ribbon, click New to make the dialog appear:

     

  2. Enter a Code (mandatory field), a unique alpha-numeric APM code.

  3. In the Text field, enter the name of the urgency level and its alternative name, if needed, in the Alternative field.

  4. In the Sort field, define the order number of a record (where 0 means the first record in the list).

  5. In the Is Passive field, specify whether the code is to be active or passive. Passive codes appear as disabled. It is recommended to set a code to Passive if it will be no longer in use.

  6. Switch to the XREF tab and click the Append button. Clicking the command enables the fields to be filled out:

    • Interface. Select CREWLINK from the drop-down list. If the CREWLINK selection is unavailable, you need to define the CrewLink interface by following the instructions in CrewLink Interface Code Setup.

    • Xref Code. Enter a cross-reference provided by ATPICrewLink for this particular record.

       

    • Comment. Enter any comment you want to add.

  7. Click OK to proceed.



Customer GUID

When a booking is initiated in APM, the CrewLink system identifies the current user by the Customer GUID number which is assigned right after the registration. Once assigned, the number is required to be linked to the user in Adonis Control Centre. To do this, log into Adonis Control Center and go to Users > More:

Enter the GUID number into the User GUID field and click Save on the Quick Access toolbar.

Once defined, it is then displayed in the user's profile of Adonis Personnel Manager. To access it, log into APM, go to File > View Profile:

Common warning messages/ errors

  • If the Passport issue country is missing, the user will get the warning message below. It’s possible to proceed with the booking (select Yes) or cancel the booking process and update the missing information in the Passport record:

  • If GUID for the current user account is missing in the user profile, the user will get the below message during the booking and the booking will not be processed:

To fix the issue the user can enter GUID (is provided by ATPI) in the profile:

The GUID can also be added by the Adonis administrator in Adonis Control Centre for all the users:
